Tracking whether promised placements were delivered
Compare each promised sponsorship placement with dated proof, record partial delivery and raise exceptions while they can be resolved.
Check each promised placement against its agreed format, position, channel and time window. Keep evidence of what actually appeared. Artwork sent or approved is a production milestone; it does not confirm publication or installation.
Set the check before delivery
Use the current signed schedule and authorised changes. For a programme credit, identify the edition and agreed position. For a post, identify the channel and publication window. For a sign, identify the location and, where the agreement specifies it, the period it must remain in place.
Name who can supply or inspect the record. Resolve an unclear promise before its delivery window closes.
Check recurring placements separately. One delivered post cannot complete a promise for several posts. Record any third-party confirmation as a dependency when the organiser does not control the full placement.
Match proof to the promise

Use additional checks when the agreement requires duration, distribution or reporting that a single copy cannot establish. A platform report may add defined figures if reporting was promised; retain its definitions and dates. Do not combine potential audience, placement delivery and observed response into one number.
Record exceptions plainly
Useful working statuses include delivered as agreed, partly delivered, different from agreed, missed and awaiting evidence. Add the observed detail, date and agreement reference. A sign at another entrance is different from agreed until the authorised parties accept that location; the fact that it is still a sign does not make the change equivalent.
Suppose a hypothetical event promised a programme credit and a foyer sign. The programme contains the credit, but the sign is installed after opening. Record the credit as delivered and the sign’s actual installation time. Check the agreement and obtain a decision about the missed period rather than inferring a refund or substitute.
Raise issues while action is possible
Review placements before, during and soon after their windows as practical. Send the responsible contact the agreement reference, observed difference and available proof. Ask whether correction within the original window is possible.
A later placement, replacement or adjustment needs the approval required by the agreement; keep that decision with the record.
If proof never arrives, leave the row awaiting evidence rather than declaring it delivered or missed without support. The final delivery account can inform a later review, but it does not measure recall, enquiries or sales caused by the sponsorship.
